Are your products available year-round, or is availability seasonal?
Most products — coffee, vanilla, spices, moringa, patchouli oil, and processed goods such as charcoal briquettes and tapioca starch — are available year-round, though quality and pricing fluctuate with harvest cycles.
Seasonal highlights to plan around:
Jan–Mar: Peak coffee harvest, gula aren, honey, coconut products — best pricing for forward contracts
Apr–Jun: Prime vanilla, cacao, spices, and tropical fruits including avocado
Jul–Sep: Excellent availability for dried and processed goods; secondary coffee harvest in some regions
Oct–Dec: Transition season — good opportunity to negotiate year-end pricing and early next-year contracts
We recommend communicating your sourcing needs 2–3 months in advance to secure peak-season quality at the best pricing.
Can you source products that aren't listed in your catalog?
Yes. Our sourcing team has relationships across a broad range of Indonesian agricultural producers beyond our published catalog. If you have a specific product requirement — a particular commodity, grade, origin, or processing method — contact us with your specification and target volume. We will advise on availability, lead time, and pricing within 48 hours.
Tip: Additional products we regularly source include ambergris, corncob, various legumes, and specialty botanical extracts.

What are the minimum order quantities (MOQ)?
MOQs vary by product type and form factor. As a general guide:
Vanilla beans, kratom, essential oils: from 25 kg
Moringa powder, honey, cacao nibs/mass: from 100–500 kg
Agarwood (oud oil): from 1 kg; wood chips from 50 kg
For new importer relationships, we can sometimes accommodate smaller trial orders to establish quality confidence. Request a quote and mention your target volume — we'll confirm the applicable MOQ and pricing.
How quickly will I receive a quote?
We respond to all quote requests within 24 business hours. Your quote will include pricing, confirmed availability, estimated lead time, applicable certifications, and a sample offer for qualified importers.
To receive the most accurate quote, please include in your request: product name and grade specification, estimated quantity, destination country, required certifications, and your preferred Incoterm. Use our Request a Quote form for the fastest response.
Can I get product samples before committing to a full order?
Yes. Qualified importers can receive 1–5 kg sample lots for most products before placing a commercial order. Samples are accompanied by a Certificate of Analysis from an ISO 17025-accredited laboratory.
Outbound shipping costs for samples are typically borne by the buyer and can be credited against your first commercial order. Indicate your sample request in the quote form or by emailing hi@hindiatimur.com.
Do you offer private label (OEM) packaging?
Yes — private label and OEM production is one of our five sourcing models. We can produce moringa powder, patchouli oil, cacao, gula aren, and several other products under your brand name with retail-ready packaging.
The OEM service includes:
Custom packaging design and production (pouches, jars, cartons, drums)
Your logo and regulatory labeling for your destination market
Full certification set (organic, Halal, Certificate of Analysis) printed under your brand
Formulation support where applicable

What compliance documents are included with every shipment?
Every Hindia Timur shipment includes as standard:
Phytosanitary Certificate — issued by Indonesia's Ministry of Agriculture (BKP/Badan Karantina Pertanian)
Certificate of Origin — issued by Indonesia's Ministry of Trade (SKTM)
Certificate of Analysis — from an ISO 17025-accredited laboratory, batch-specific
Commercial Invoice, Packing List, and Bill of Lading

Are your products organically certified?
Organic-certified variants are available for several products, including moringa powder, gula aren (palm sugar), specialty coffee (select lots), and cacao. Certifications include:
IMO Control — for EU Organic Regulation compliance
USDA National Organic Program (NOP) — for US market access
Please specify that you require organic certification when submitting your quote request. Organic lots carry a premium over conventional-grade pricing. The certification period is typically 2–3 years from transition, so availability depends on the farming cooperative.
How do you handle CITES requirements for agarwood and sandalwood?
Both agarwood (Aquilaria spp.) and Indonesian sandalwood (Santalum album) are listed under CITES Appendix II, requiring export permits for all international trade.
All our agarwood is sourced from licensed plantation and managed-wild sources in Kalimantan and Sumatra, supervised by the Indonesian Ministry of Environment and Forestry (KLHK). Sandalwood is sourced from government-licensed harvest programs in Nusa Tenggara Timur.
With every agarwood and sandalwood shipment we provide:

Sustainable Harvest Certificate (sandalwood)
Buyers are responsible for obtaining the necessary CITES Import Permit from their national Management Authority prior to shipment.

Shipping & Logistics

What shipping terms (Incoterms) do you offer?
We are flexible on Incoterms and can accommodate most arrangements:
FOB (Free on Board): We deliver to the agreed Indonesian port; ocean freight and insurance are your responsibility from that point
CIF (Cost, Insurance and Freight): We arrange and pay ocean freight and insurance to your destination port
DDP (Delivered Duty Paid): We handle everything door-to-door including import duties — simplest option for buyers who want zero logistics burden
CFR (Cost and Freight): We arrange ocean freight; you handle insurance
EXW (Ex Works): You or your freight forwarder collect from our facility in Indonesia
Your preferred Incoterm can be specified on the quote request form. If unsure, we recommend FOB for experienced importers and DDP for first-time Indonesian sourcing.
What is the typical lead time from order confirmation to shipment?
Lead times depend on the product and stock availability at the time of order:
4–8 weeks: Agarwood, sandalwood, oud oil — due to CITES permit processing time
2–4 weeks (seasonal): Fresh avocado and other perishables, subject to harvest availability
We communicate lead times precisely in your commercial quote and proactively update you if conditions change.

Quality Assurance

How do you ensure consistent quality across shipments?
Quality consistency is managed at four stages:
Farm-level: GPS-tagged harvest records, farmer training, and cooperative-level grading before consolidation
Pre-processing: Incoming lot inspection against agreed grade specifications — moisture, defect counts, screen size, visual grade
Laboratory: Every commercial batch is tested by an ISO 17025-accredited lab. Results are issued in a batch-specific Certificate of Analysis that ships with your cargo
Pre-shipment: Third-party SGS or similar inspection is available on request for an additional fee
Lots that fail specification are rejected before they reach the buyer — not after. We do not ship substandard product and substitute it at the other end.
What quality grades are available for specialty coffee?
We supply Indonesian specialty coffee to the following specifications:
Specialty Grade (Grade 1): Screen 15+, 0% Category 1 defects, cupping score ≥80, moisture ≤12.5% — for specialty roasters and premium food service
Premium Commercial Grade (Grade 2): Consistent size, low defect count, suitable for blending and private label
Processing methods: Natural (sun-dried), fully washed, honey process — available depending on origin
Forms: Green bean (GrainPro or jute bags), roasted whole bean, ground — by arrangement
Single-origin lots are available from Flores (Bajawa), Aceh (Gayo), Toraja, and Java Estate. Ask for our current lot availability sheet in your quote request.

How do I join the Hindia Timur producer network?
The process is straightforward and designed for both individual smallholders and cooperatives:
Step 1 — Apply: Complete the Farmer Partnership Application on our About page. Tell us what you grow, your approximate volume, and your location
Step 2 — Conversation: Our sourcing team contacts you within 24 hours to discuss your produce, practices, and any certification support you may need
Step 3 — Sample & Assessment: We request a product sample for laboratory testing against export grade specifications
Step 4 — Supply Agreement: If the product meets standard, you receive a supply agreement with clear pricing, delivery terms, and a dedicated account manager
What support do you provide to help farmers achieve certification?
We recognise that achieving international certifications can be costly and administratively complex for smallholder farmers. Our support includes:
Technical guidance on what certifications your target buyers require
Introduction to approved certification bodies (IMO, USDA NOP auditors, MUI for Halal)
Pre-audit farm assessment to identify gaps before formal certification inspection
Document preparation support for phytosanitary and export compliance
For organic certification: support during the 2–3 year transition period, including access to guaranteed purchase agreements to offset transition risk
How are farm-gate prices determined and are they fair?
We price based on current international commodity benchmarks (ICO, USDA WASDE, spice commodity exchanges) plus a quality premium for certified or specialty-grade product. We share market price transparency with our producer partners — you can see the price context behind our offer.
By eliminating unnecessary intermediaries and working directly with farmers, a greater share of the international buyer's value reaches the farm gate compared to traditional commodity chain structures. For certified-organic, fair-trade, or specialty lots, premiums of 20–60% over commodity price are typical.
Multi-season supply agreements provide price stability and allow farmers to plan investment in their operations with confidence.
